Proposing a swap
Trading Sundays with another volunteer.
What a swap is
You and one other volunteer trade assignments. You take their Sunday; they take yours. Both Sundays stay covered, neither of you drops a role, the schedule just rearranges.
How to propose one
- From /me, click Propose swap on the Sunday you want to move.
- Pick a target: an upcoming assignment held by someone else. By default you can only propose swaps for the same role on a different Sunday. Cross-role swaps (say, you trade your Greeting slot for their Sound slot) require an admin to approve, since both of you need to be eligible for both roles.
- Write a short note and submit.
The other volunteer gets an email with Accept and Decline buttons. They have until the Friday-reminder cutoff for either affected Sunday (whichever comes first) to respond; after that the proposal auto-expires.
What happens when they accept
- Both assignments flip in a single atomic update. You’ll both see the new Sundays on your /me pages immediately.
- Both of you get a confirmation email.
- Admins see the swap in the audit log.
What happens when they decline or ignore it
- The proposal goes into a declined or expired state. Neither schedule changes.
- You can propose to someone else, or fall back to a coverage request.
Edge cases
- You can’t swap if either Sunday has already had its reminder campaign scheduled (Sunday evening one week before). Propose earlier — or ask an admin to unlock it.
- Groups: if the target assignment is held by someone in your group, you can still propose — but admins review these since they’re often a sign the household is going together.
