Special events

Signing up for one-off events outside the regular Sunday rotation.

What these are

Special events are one-off serving opportunities outside the regular Sunday rotation — a Christmas Eve service, a work day at the building, a fundraiser. The admin team creates them; any active volunteer can sign up.

Seeing what’s coming up

The Events page lists upcoming special events with their dates, locations, and how many roles still need volunteers. Click an event to see the full description and the per-role signup buttons.

Signing up

On the event page, each role shows how many volunteers are needed and how many have already signed up. Click Sign me up on any role that still has an open slot. You’ll get a confirmation email right after with the event details and a link back to the page.

If a role is already fully staffed, the button is replaced with a “Fully staffed” badge. Pick a different role or check back — sometimes someone withdraws and a slot opens up.

You can sign up for as many roles on the same event as you like, as long as each one has an open slot.

Changing your mind

Open the event page and hit Withdraw on the role you’re leaving. The slot reopens immediately and another volunteer can take it. No penalty — it’s a quieter “I can’t make it” than a Sunday coverage request.

If you change your mind again and the role still has an open slot, you can sign back up and your original confirmation is reinstated.

Seeing what you’re on

Your My Schedule page has a Special events section between your upcoming Sundays and your history. It shows every upcoming event you’re signed up for along with the role you picked.

If the event is cancelled

If an admin cancels a published event, it still shows on the Events page and on your My Schedule with a red “This event has been cancelled” note, so you don’t show up expecting it to happen.

Getting reminded

You always get an email right when you sign up. Day-before reminders will land in a later release.
